We have over a dozen different domains that we maintain for client applications at SEO Logic, and in the past, we've used an Excel spreadsheet (shudder) on a shared TimeCapsule disk to keep track of the SSH, database, application, and control panel URLs. This means that whenever I need to access information about one of the applications, I have to wait approximately 12 years for Excel to start up and open the spreadsheet.
This week I discovered a tool called DomainBrain, which seems to have been designed to solve my problem exactly. It lets you track FTP, CMS, and database passwords for any collection of domains, while allowing you to configure additional sets of fields for custom use (e.g. SSH). The application starts up almost immediately and so far has proved to be a great tool for the sort of tracking that we need to do on a daily basis.
The only challenge that we faced was keeping the information in sync between multiple computers. DropBox to the rescue! Here's how we enabled the DomainBrain data file to be shared in a magical DropBox folder:
